Custom operations systems
An operating layer built around how you actually work
Off-the-shelf tools give every company the same screens and expect your team to translate real work into them. Breezy does the opposite. We study how the work actually happens, redesign the process, and build the internal system that coordinates it from beginning to end, across the tools you already run.
Who this is for
- Owner-run operational businesses past the spreadsheet stage
- Operations that do not fit a standard CRM, ERP or rostering app
- Teams coordinating people, jobs, sites, suppliers and finance at once
- Companies where the process lives in experienced employees' heads
What it fixes
- The same details re-keyed into three or four separate systems
- Quotes, rosters, timesheets and client notes scattered across files and inboxes
- Decisions that need someone to check five places first
- No single live view of a job from enquiry through to invoice
- Work that stops when one person is away
What we can build
- A pipeline shaped to how you actually win work
- Quote and proposal builders using your own rates and rules
- Rostering and role-based staff planning
- Field capture, QR sign-on and job sheets
- Timesheets and automatic reconciliation
- Approvals, audit trail and permissions
- Live dashboards and client-ready reporting
- Invoicing and finance handoff
Tools we can connect
An example build
One job record, from enquiry to invoice
- 1An enquiry arrives by email and becomes a draft lead, matched to an existing customer.
- 2Similar past work and current availability are pulled in automatically.
- 3A commercial estimate is prepared from your rates, with assumptions flagged for approval.
- 4The won deal becomes a live job, with staff planned by role and phase.
- 5Crews are rostered, sent requests and sign on by QR on the day.
- 6Actual hours reconcile against the roster and the quote, then invoices and reports generate from the same record.
Data in
- Inbound enquiries and emails
- Customer, site and rate data
- Staff availability and agency responses
- Sign-on and actual hours
Data out
- Quotes and proposals
- Rosters and shift requests
- Invoices and finance sync
- Live reporting and audit trail
How we build it
AI where useful. Software where reliable. People where responsible.
We do not start by choosing technology. Each part of the workflow is handled by the mechanism that is most reliable for it: a calculation in code, a policy as a rule, a record from the database, a model only where language is genuinely ambiguous, and consequential judgement left with a person.
End-to-end system
When the workflow has outgrown spreadsheets and does not fit standard software, we build the whole thing around it.
Gap-bridging layer
When you already have good tools, we connect them and fill the manual gaps, so nothing gets re-keyed between systems.
When custom software is not the answer
We will tell you when you do not need us. Custom is the wrong call when:
- An off-the-shelf product already fits your process cleanly
- The workflow is simple and stable enough that a spreadsheet still works
- The process runs too rarely to repay building a system around it
- You need a regulated system of record, such as clinical, that a specialist platform serves better
Closed Loop and CL Sustainability Services run live operations on layers we built around exactly this shape of work. Quote preparation went from about six hours to one, across 11 locations in New Zealand and Australia.
