Tool integration and workflow gaps
Keep your tools. Build the layer between them.
You rarely need to replace the stack. The cost usually sits in the gaps: the exports, the copy-paste, the email attachments, the second system somebody updates later. Most operational tools expose APIs and webhooks, and Breezy uses them to coordinate your systems around the actual workflow.
Who this is for
- Companies with good tools that still re-key data between them
- Teams held together by exports, attachments and copy-paste
- Operations where finance, sales and delivery each have their own version of the truth
- Anyone told they must replace everything to fix one broken handover
What it fixes
- The same job typed into the CRM, the ops tool and the accounting system
- Manual exports, imports and reformatting between systems
- Status that is only correct in one place at a time
- Delays because a handover depends on someone remembering
- Reporting that has to be rebuilt by hand each month
What we can build
- A CRM lead that becomes a job in your operations system
- An invoice created in Xero from approved job data
- Roster or timesheet actuals pushed into payroll
- An email attachment turned into structured job data
- Two-way contact and status sync between systems
- Webhooks so updates land live instead of overnight
- One reporting view drawn from several systems
- The missing screen your team currently does in a spreadsheet
Tools we can connect
An example build
A lead becomes a job, then an invoice, with nothing re-keyed
- 1A new lead lands in HubSpot from your website or inbox.
- 2Breezy creates the matching job in your operations system, with the customer already linked.
- 3Delivery happens in the tools your team already uses.
- 4Approved figures flow back out once the job is signed off.
- 5A draft invoice is created in Xero, and contacts and status stay in sync.
Data in
- CRM leads and contacts
- Approved jobs and figures
- Roster and timesheet actuals
- Emails, attachments and exports
Data out
- Jobs in your operations system
- Invoices in Xero or QuickBooks
- Payroll-ready hours
- Synced contacts, status and reporting
How we build it
AI where useful. Software where reliable. People where responsible.
We do not start by choosing technology. Each part of the workflow is handled by the mechanism that is most reliable for it: a calculation in code, a policy as a rule, a record from the database, a model only where language is genuinely ambiguous, and consequential judgement left with a person.
End-to-end system
When the workflow has outgrown spreadsheets and does not fit standard software, we build the whole thing around it.
Gap-bridging layer
When you already have good tools, we connect them and fill the manual gaps, so nothing gets re-keyed between systems.
When custom software is not the answer
We will tell you when you do not need us. Custom is the wrong call when:
- A single platform you already own genuinely covers the whole workflow
- The tools involved have no API, webhook or usable export
- The manual step happens rarely enough that automating it would not repay the build
- The underlying process is broken, in which case it should be redesigned before it is connected
This is the most common place we start. Connecting what a company already trusts is usually faster, cheaper and less disruptive than replacing it.
