Timesheet and sign-on automation
Custom timesheet automation built around your workflow
Timesheets chased on paper or rebuilt in a spreadsheet after the job are slow, disputed and usually wrong somewhere. Breezy captures hours where the work happens, reconciles them against the roster and the quote, and hands clean data to payroll and invoicing without anyone retyping it.
Who this is for
- Operations paying a mix of internal crew and agency staff
- Teams reconciling hours by hand after every job
- Businesses disputing agency invoices without their own record
- Anyone whose payroll week starts by chasing paper
What it fixes
- Hours collected days later from memory, paper or messages
- Rostered and actual hours that nobody compares until it is too late
- Breaks, no-shows and overtime applied inconsistently
- Agency invoices that cannot be checked against your own record
- Payroll and invoicing rebuilt from the same data twice
What we can build
- QR sign-on and sign-off from the crew's own phones
- Rostered against actual hours, reconciled automatically
- Break, overtime and day-type rules applied consistently
- No-show and replacement handling
- Agency and internal hours split cleanly
- Approval in one pass, with an audit trail
- Per-agency timesheets generated from approved actuals
- Payroll and invoicing handoff, including Xero
Tools we can connect
An example build
From sign-on to approved payroll data in one pass
- 1Crew sign on and off by scanning a QR code on site.
- 2Actual hours land against the roster line for that shift, live.
- 3Breaks and rules are applied, and every variance is flagged.
- 4A supervisor reviews only the exceptions, then approves in one pass.
- 5Timesheets generate per agency, and payroll and invoicing data is ready the moment the job ends.
Data in
- The roster and its rate cards
- QR sign-on and sign-off records
- Break, overtime and day-type rules
- Supervisor approvals and adjustments
Data out
- Reconciled actual hours
- Per-agency timesheets
- Payroll-ready data
- Cost against quote and an audit trail
How we build it
AI where useful. Software where reliable. People where responsible.
We do not start by choosing technology. Each part of the workflow is handled by the mechanism that is most reliable for it: a calculation in code, a policy as a rule, a record from the database, a model only where language is genuinely ambiguous, and consequential judgement left with a person.
End-to-end system
When the workflow has outgrown spreadsheets and does not fit standard software, we build the whole thing around it.
Gap-bridging layer
When you already have good tools, we connect them and fill the manual gaps, so nothing gets re-keyed between systems.
When custom software is not the answer
We will tell you when you do not need us. Custom is the wrong call when:
- Your team is small and salaried, where hour capture adds process without saving anything
- An existing time and attendance tool already fits, and only the handoff to payroll is broken, which is an integration job
- Nobody is willing to sign on at the point of work, since the records will not be trusted
Because sign-on, approval and adjustment are all recorded, the hours you pay and the hours you invoice come from the same evidence, and any change can be traced.
